1）1行目のif we could keep the categories etc.がどうも分かりません。weが誰を指しているのかが特にわかりません。

１．If we could keep the categories etc. はカテゴリーetc.をそのままキープしたい、という意味合いになります。”カテゴリー等”となっていたのでCategories etc.とさせて頂きました。
Weは、貴方と先方との間での同意でなされた契約野中で、双方の同意の下カテゴリーをそのままにしておくというような扱いになり、どちらかというとI want to~より協力的な印象で受け取られる言い方です。
２．a refund is fine は「Refund（払い戻し）は結構です」という意味です。もし、払い戻しは不要です、とキッパリおっしゃりたい場合はその行は
