日本側のフォワダーと出荷日について相談しているのですが、GW直前で非常に船が混み合っており、配船が出来なかったと連絡を受けました。現状、5/7-8にフォワダー引き渡し予定です。
配船の問題のため、我々ではどうしようもない状況です。

宿泊費や交通費など諸経費の支払いについて確認させて下さい。
諸経費を一旦我々が立て替え、レシートを貴社に渡し、貴社が弊社に振込む形になるのでしょうか?

I was persuading the factory, and working on shipment.
I am talking about the day of the shipment with Japanese forwarder.
As ships are very crowded due to consecutive holidays coming soon, they said that they could not arrange for the shipment. As of today, I am going to give it to the forwarder on May 7th or 8th.
Due to the problem of arranging for the ship, we cannot do anything about it.

I am going to check payment of expenses including the fee of staying at a hotel and transportation.

I actually convince the factory side to proceed the shipping work.
I am talking with the forwarder of Japan side about the shipment date, and was received that they could not arrange the delivery vessel because the ships are very busy for just before Japanese holidays. We are going to deliver the items to the forward from May 7 to 8.
Due to allocations of ships, we have no other options at this moment.

Please kindly let me confirm about the payment of the costs such as accommodation and transportation fee.
Is the process that we pay in advance the costs, hand the receipts over to you, then you will transfer the money?

Actually, I persuaded factory side and we were preparing for shipment.
Now we're talking with forwarder in Japan about shipment date, but vessel is so congested before Golden Week, and we couldn't get space of vessel. So far, we're planning to pass our cargo to forwarder on 7-8th May.
We cannot help but doing nothing by ourselves because it's a problem of vessel booking.

Let me check the payment of accommodation fee, transportation fee, and other charge.
We'll pay for those fee first, and after that, we'll pass the receipt to you, and you'll transfer the charge to us, is it ok?

As a matter of fact, we have been working on shipping process by persuading factory side. Although we are trying to make shipping date arrangement with Japanese forwarder, we were notified that the arrangement was not possible due to the very busy period before the golden week vacation in Japan.
At this moment, goods are supposed to be handed to forwarder on May 7th to 8th. We are not able to control this matter due to the shipping arrangement issue.

I would like to confirm the payment method for traveling fees for hotel stay and transportation. Are we expected to pay for this at the site and receive your payment by money transfer after submitting our receipt to you?
