まず、退寮する日程が決まり次第教えてください。
ガス・電気・水道の契約解約が必要ですので手続きをして下さい。
後でトラブルにならないよう必ず手続きをするようお願いします。
鍵は退去の日に他の部屋の居住者に渡すか、104号室のポストに入れておいてください。

We would like to tell you some information before leaving the dormitory.
First of all, please tell us the schedule leaving the dormitory as soon as possible.
You have to cancel on gas, electricity and water supply, so please take the proceedings.
We want you to take them surely because avoiding troubles later.
When leaving, you have to give the key to the resident in another room or put the key in No. 104 mail box.
