How schedules interact
When the system checks availability it takes into account if there are conflicting appointments for any of the requested resources, of course. However, there are many other scheduling constraints that you can configure:
Opening hours
Special days such as holidays
Limit how long in advance a booking can be made
Limit appointments per time period or in total
Ensure a synced Google or Outlook Calendar is available

A time period is only available if it complies with all those constraints including the constraints for each resource that the service depends on.

For example, if Schedule A is available at 9:00 and 10:00, and Schedule B is available at 10:00 and 11:00 then a service that depends on both Schedule A and Schedule B would only be available at 10:00. If a service depends on Schedule A or Schedule B, then it would be available at 9:00, 10:00 and 11:00.

The “Opening Hours” tab for each schedule, on the “Supervise” screen, has a section at the bottom that determines how the availability information is applied and a checkbox to allow the administrator to ignore all time constraints for the schedule. If you switch off a constraint there, it is also ignored in dependent services.

Apple’s iPhones and iPads can automate small tasks using a feature called “Shortcuts”. This blog post shows you how to display recent changes in your calendar with a single click, or to have Siri read them aloud. If you have an Android device, we aim to do a blog post on how to do this with Google’s Assistant in the future.

Note that some of these steps will only work if you have the latest version of iOS installed, version 13.4 at the time of writing.

First, try out the Shortcuts app
Before the iPhone allows you to install a shortcut from a third party you will have to do two things: run a shortcut at least once and change the security settings.

So, first find the “Shortcuts” app on your phone by swiping down and typing its name. It’s installed by default on all modern iPhones, no need to download it from the App Store. Pick any one of the shortcuts on display in the gallery and run it.

Next, go to the “Settings” app and scroll down to the settings for the Shortcuts app. Here you will find a setting “Allow Untrusted Shortcuts”. You will need to enable this to be able to install the shortcut in the next section.

Install a Shortcut from the gallery
Now you are ready to set up our own shortcut.

Instead of copying these steps one by one you can just click one of the options below and it will install the shortcut from the gallery:

If you see a warning that the shortcut cannot be opened, you will want to make sure you did not skip the steps from the previous paragraph When you install the shortcut it will automatically ask you for a schedule ID and for a password. Your schedule ID can be found by clicking the “Configure” button next to your schedule on the Dashboard.

The schedule ID will be the number at the end of the URL of the browser window. If you are not comfortable entering your password in the app, then you can enter a so-called API key instead. You can find your API key on the Account Info screen, at the bottom of the page.

You can test the shortcut by clicking it inside the shortcuts app. It should show you a list of upcoming or recently changed appointments on your calendar. Clicking one will open the relevant page on the site so you can view the details and edit it. If you are happy with the result you can also create a button on your home screen.

To put the button on your Home Screen click the circled ellipses (…) and on the pop-up, again click the ellipsis and then click “Add to Home Screen”. You can also simply say the name of a shortcut to Siri to have her (him? it?) activate it for you.


Modify the shortcut to suit your needs
You can rerun the setup at any time if you want to connect it to another schedule: click the circled ellipsis, and on the pop-up click the ellipsis once more, then click ”Customize Shortcut”.

If you have multiple schedules you can duplicate the shortcut by clicking and holding the shortcut button until a pop-up appears, from there you can choose “Duplicate shortcut”.

You can also change the steps the shortcut performs. For example, if you activate a shortcut by saying its name to Siri then the result will be read back to you. It would be cumbersome to have her rattle off a long list of appointments. So here is a slightly modified shortcut to retrieve only the next upcoming appointment and show it right away, skipping the selection step:

The result is a shortcut better suited to a voice command to use on your watch or in your car. You can look at how these shortcuts are made by clicking the circled ellipsis button, which will show a little flow chart of each step.

Manage customer flow with staggered appointments
Often, the limit is not just the total number of people at a venue, but the number arriving at the same time

To comply with social distancing norms it is often not enough to only manage the capacity of a venue, the number of people there. It can also be necessary to manage the number of people arriving or leaving at the same time. For example, a swimming pool or day care may easily hold 50 people, but if they all arrive at the same time it will still cause problems around exits and changing rooms. And there can be many other reasons besides social distancing that make staggered arrival of guests a good idea.

As explained in a previous blog on queue management, you can set up a queue to allow, say, a batch of 10 customers every 15 minutes. However, for a swimming pool, you don’t want those 10 people to leave after 15 minutes, instead you want to allow the first batch to stay inside while the second batch arrives.

This can be achieved by creating an appointment schedule that allows batches of staggered appointments, where you can set a limit both on the batch size and the total.

You could set this up with a single “capacity-type” schedule, by creating lots of little boxes in a staggered pattern, each with the capacity of one batch.

But creating all the boxes is tedious (that’s what computers are for) and making a change later is cumbersome too. Also, it looks a bit confusing and users will not be able to easily change their appointment to another time.

There’s a better approach, but that one can be a bit tricky to set up. It involves creating a separate schedule for each batch, and after that, a schedule that combines those into a single calendar.

First, you use the “New schedule” wizard to create a “resource” type schedule, where the number of resources is the size of one batch of people. A batch can have a size of just one, of course.

Next, you use the wizard again to copy that schedule, the number of copies you need is the number of batches that happen concurrently. Then, on each of the copies you set a different start time constraint, for example “9:00, 10:00, 11:00” on one batch and “9:15, 10:15, 11:15” on the second batch. You can also use the short form “*:00, *:30”, indicating that those batches start at all times ending in :00 or :30.

Finally, we use the wizard to create a “service” type schedule that will be used to combine the batches we just created. On this schedule we will set opening hours and create a single service that indicates the length of a batch.

In the wizard define the service to consist of “Batch 1” or “Batch 2” or “Batch 3” or “Batch 4”.
Voila, the resulting calendar will allow people to sign up for a specific time until that batch is full, at which point the slot disappears.

Use a virtual queue to manage customer flow to your store

Using a virtual queue is easy:
1. Put up a sign with a QR code. Customers can scan this. They do not need to install an app, it works in a web browser on any modern phone
2. The QR code shows them your queue. It leads them to a web page that shows the next available time you are available to serve them

When starting the setup, the first decision is the interval of the slots you want to allow in your queue.
You probably want to start with a conservative number to avoid customers showing up at the allotted time while you are still serving the previous customer. You can always change the interval later if it turns out your queue is running empty too fast.

The smallest interval that our system supports is 1 minute, but you can allow multiple slots per interval, so that’s an easy workaround if you need a higher capacity. It may actually be desirably to choose a larger interval, say 10 minutes, and then define, say, 5 parallel slots.

This more clearly indicates to the user that their allotted time is approximate, and they will not expect to be served that very minute.

Sometimes you want a different limit on the total capacity of a venue than the limit on the number of people arriving and leaving at the same time. That’s possible too, then you would want to set up the system slightly differently than a regular queue.

By modifying the verbiage on the scheduling page you can explain to your customer how your process works in detail, and add colors and pictures consistent with your brand.

You can optionally add a field with a phone number or email so people can receive a text reminder or email when it’s almost their turn.

Sending them an email also allows you to include a link with which they can delete their slot if they change their mind. These details of the queue would typically be hidden from those waiting in line, you can view them when you are logged in as administrator. You can assign “superuser” rights to store staff, so they can view and manage the queue without being able to modify your account.

Sanitize your queue
If you are worried that people might fill up the queue with fake appointments then you could decide to ask them to create a user name before they can sign up. That way the system can prevent duplicate sign ups. Asking customers to sign up also allows you to capture their details to use for marketing purposes.

However, asking your customers to create an account obviously adds more friction to the process and some customers may be reluctant to share their details. In practice, few customers experience vandalism problems, and can simply remove obvious fake appointments when they do occur. By configuring a maximum limit to how far in advance people are allowed to sign up you can limit problems as well.
