いつもお世話になっております。
今回クレームをいただいた件についてご報告致します。
今回返金に応じることはできない明確な理由が二つあります。
我々は御社のページの説明にある通りの商品をお客様にお送りしました。
この釣り竿のセットは、商品ページにもある通り、小さい魚を釣る携帯用の釣り竿です。
2点目
今回お客様はこの釣り竿を海もしくは川で利用されています。利用する前に家で商品の確認をして返品いただければ弊社も返金に応じますが、1度使用した商品の返金は受け入れられません。

I am report the issue regarding the claim that was received this time.
There are 2 reasons on why the refund cannot proceed this time.
We have sent the company's webpage containing the explanation for the said product to you.
This fishing rod set as indicated in the product page is a portable fishing rod for catching small fishes.
Second point
You may have used this fishing rod in the sea or the river. The refund will be issued if the product was checked at home and returned to us prior to using it. But we won't be issuing the refund if the product has been used at least once.

4行目: 送ったものが「webpage」になっています。送ったものは「釣竿」です。これは書いてて「変だな?」と思いませんでしたか?

The last paragraph: A refund could be issued if the product ~ ではないですか?(subjunctive mood) Though I'm not sure if it should be type 2 or type 3. I want hear your opinion.

この文章には登場人物が2者あります。「御社」と「お役様」。そして、「お客様」requests a refund. しかし、日本語で「御社」と言うとき、それは「今、話している相手」です。つまり、このメールは「お客様」に出しているのではなく、「御社」であるどこかの会社(I believe it's the platform manager like Amazon) に向けてかかれたものです。したがって、あなたが「お客様」=YOU として書いていらっしゃるのは違っています。

Sorry! There were 2 mistakes! "I want [to] hear your opinion."
「お役様」→「お客様」

The second line was my mistake. It should be I am reporting the issue. It was a typo. And yes it should be the fishing rod not the webpage.

As far as the last paragraph is concern , it would seem that the refund will be done so putting in "could" might make it sound "unsure". And yes after reading it again, I think it is in the wrong perspective. The mail is NOT for the customer but for the company who manages the product. So yes this review is appropriate

Thank you for your reply. I was astonished to see all the Japanese translators made the same mistake as yours. No one took "the company" as "you", instead, they all regarded "the customer" is "you". Sigh....
I don't think the refund will be done as they are refusing to do so pointing out the 2 reasons. Putting the phrase in subjunctive mood is yet inappropriate?
Like... The refund [could] be issued if the product [had been] checked at home and returned to us prior to using it.

It's appropriate but probably might come across as "weak" from a business perspective. We might use will/would rather than could in my opinion.
